Handover and follow-up

What to organise when handing over a home’s installations

The handover should make it clear what has been installed and how to use it. An organised folder is more useful than unrelated documents.

Prepare for handover during construction

Final documentation is easier to complete when it is collected as the works progress. Leaving it until the last day means reconstructing model references, changes and test records that may be scattered among several people. Define from the start what will be handed over and who will gather each part.

The exact content depends on the project and the contracted scope. A deliverables list helps organise it and track outstanding items without replacing the technical documentation required for each installation. Distinguish a planned document from one that has been received and checked.

Link documents to what is actually installed

Drawings should locate the installed components and routes agreed for documentation. If modifications were made, incorporate the validated information about those changes. Handing over only the original version can create uncertainty during a future intervention.

Equipment identification must also match the installed units. A manual for a similar range may not describe the actual controls and components. Group together brand, model and location so the user or maintenance provider can find the right documentation without guessing which appliance it belongs to.

A simple index for the handover folder

Organise the documentation with understandable names and a structure that can be used without knowing the project’s history:

  • System overview and equipment list by location.
  • As-built drawings and diagrams with identifiable dates and revisions.
  • Records of the tests, adjustments and checks included in the work.
  • Relevant user manuals and maintenance instructions.
  • Information about controls, applications and access rights agreed for transfer.
  • Outstanding items, responsible parties and the next planned action.

Explain the tests and their limitations

An operational check should be traceable to a unit or system and to particular conditions. Keep the agreed records and an explanation of the results. The fact that a unit starts does not, by itself, describe the complete installation’s performance.

If a test remains outstanding because of site conditions, supply availability or the season, state this clearly. Identify what is missing, who will resolve it and how the later check will be organised. A recognised and managed outstanding item is more useful than a folder that appears complete when it is not.

Allow time to explain operation

Handover also involves explaining the controls the owner will use: zones, schedules, everyday functions and how to report a problem. Tailor the explanation to the actual installation and leave a simple reference that can be consulted afterwards.

For connected systems, agree how accounts and permissions will be transferred. Avoid leaving day-to-day management tied to an individual worker’s personal account. Credentials should be handed over through an appropriate channel, separately from drawings or documents that will be widely shared.

Close with a record of what has been handed over

Review the index with the people involved and identify files received, explanations given and outstanding items. The record shows which information each person holds and what still needs completing. It also gives future maintenance a clear starting point.

At Red Málaga, we check the installed systems and explain their use within the agreed scope. Coordinating handover with the builder, technical professionals and owner helps make the overall installation understandable. The documentation should stay with the property and remain useful after construction ends and the people involved change.

Include a contact list for questions and follow-up as agreed during the project. Distinguish who receives user fault reports from who holds the technical documentation. If tasks remain for later, link each one to its responsible party so the owner does not have to reconstruct the project’s organisation independently.

More common questions

Is handing over all the manufacturer’s manuals enough?

They are part of the documentation. They also need to be linked to the installed equipment, agreed configuration, available drawings and completed checks so they can be used correctly.
