How to manage installation changes once construction has started

Moving one item can affect several systems. A well-documented change explains what is being modified, who validates it and which documents it replaces.

Record the request before turning it into an instruction

Layout adjustments, alternative supplies and client decisions arise during construction. First describe what is requested, where and why. Distinguish a question from a proposed solution and from an approved instruction to carry out work.

An annotated photograph can help locate the change, but it needs to be linked to a room, a drawing and a revision. If several people discuss options through different channels, identify who brings the information together and communicates the decision that ultimately applies.

Look beyond the visible component

Moving a kitchen island, for example, can affect water supplies, drainage, electrical connections, lighting and furniture interfaces. It is not solely an aesthetic change, even if the request starts with the interior layout. The review should cover every affected trade.

The same applies when replacing one unit with another: check dimensions, connections, control requirements and access. Commercial equivalence does not ensure that the new item suits the installation conditions already prepared. The responsible technical professionals must confirm that compatibility.

Prepare a short change record

A shared record lets everyone review the same issue. It can include these fields without becoming a complicated document:

  • Reference, date, location and reason for the request.
  • Original drawing or detail and a description of the proposed change.
  • Affected installations, finishes and ancillary work.
  • Supply conditions and effects on the construction sequence.
  • Decision-maker, relevant technical validation and updated documents.
  • Status: under review, pending, approved for construction or rejected.

Separate reversible work from work that constrains other tasks

While a modification is being considered, identify which activities can continue without ruling it out. A localised decision does not necessarily require all work to stop, but progress should not close off an area whose solution has not yet been defined.

One example is a suspended ceiling awaiting coordination with an alternative unit. Independent work may be able to proceed, while closing the affected access area could require it to be reopened. The programme should reflect that specific dependency and who is responsible for resolving it.

Issue one current version for construction

Once the change is agreed, update the relevant drawing, quantities or document. Identify which information it replaces and distribute it to those carrying out or coordinating the affected work. Sending a file in a message does not guarantee it reaches a team working from an earlier printed drawing.

At the site meeting, check that the current revision is available and obsolete copies have been taken out of use. Apply the same discipline to digital models: the model, drawings and decisions must remain consistent with one another.

Check the completed change and close the record

After the work, verify that the agreed solution has been implemented and that connections to other systems remain resolved. Record the relevant tests and update the as-built documentation. A request should not remain open indefinitely once it has been completed or rejected.

At Red Málaga, we coordinate our installations with the builder and technical team. Defining a change’s effects before carrying it out helps keep the overall scope and information consistent. Good coordination means every participant can recognise which decision is currently in force.

A change can also affect materials already ordered or a scheduled test. Include these situations in the review before confirming the work. If the original solution is retained, record the closure of the query as well. Rejected options should not continue circulating as though they were still awaiting a decision.

More common questions

Is verbal approval at a meeting enough?

Keep an identifiable record of the decision and update the affected documents. This helps prevent a conversation being interpreted differently or a change failing to reach the person who must implement it.
